Once you have read and understood the below Terms & Conditions of hosting an event with Style Scout Events you can agree by signing your contract.
Terms and Conditions
These Terms and Conditions apply to all event planning, hosting, styling, promotional, partnership, sponsorship, and related services provided by Style Scout Events. By engaging Style Scout Events, paying a deposit, or signing a proposal, quote, agreement, or invoice, the client agrees to be bound by these Terms and Conditions.
Please note there is a separate Terms & Conditions Agreement for Sponsorship related activities and for all event attendees when RSVP-ing, purchasing their tickets or attending an event.
1. Definitions
For the purposes of these Terms and Conditions:
Style Scout Events, we, our, or us means Style Scout Events.
Client, partner, or event partner means the business, individual, sponsor, or organisation engaging our services.
Event means the event, campaign, activation, workshop, launch, partnership, or hosted experience arranged by Style Scout Events.
Services means the event planning, event coordination, promotions, styling, guest management, content coordination, PR activity, and related services supplied by Style Scout Events.
Vendors means any third-party suppliers, caterers, photographers, florists, venues, entertainers, security providers, stylists, hire companies, wait staff, or other contractors connected with the Event.
2. Event Packages and Inclusions
2.1 All package inclusions are limited to those expressly listed in the relevant proposal, quote, invoice, or agreement.
2.2 Any item, supplier, service, or inclusion not listed in the selected package will incur additional fees, charged at the quoted rate provided to Style Scout Events by the relevant supplier or service provider.
2.3 Our Basic Event Package is based on a maximum of 50 attendees. Larger event packages are available in our elevated event packages level
2.4 The Basic Event Package does not include, unless expressly stated:
council permits, regulations, or related fees
security personnel
professional cleaning services
wait staff
premium styling upgrades
additional entertainment or speciality inclusions
special request items or bespoke vendor requirements
2.5 These items may be included in an elevated package or quoted separately as additional services.
2.6 Elevated Event package pricing, inclusions, service scope, and availability may vary depending on event size, date, location, venue conditions, supplier pricing, seasonal demand, and lead time - starting from $5,000.
2.7 Style Scout Events reserves the right to change packaging pricing and inclusions at any time.
3. Quotations and Pricing
3.1 All quotations are based on supplier pricing, availability, and scope at the time of quoting.
3.2 Event pricing may vary depending on:
event date and lead time
time of year
day of the week
duration of event
guest numbers
supplier costs
venue requirements
custom requests or upgraded inclusions
3.3 Once a quote or agreement is accepted, pricing is held for the agreed event month only, unless otherwise stated in writing .
3.4 If an event is postponed beyond the original agreed event month, supplier re-quoting may be required. This may result in revised pricing, alternative inclusions, or changes to vendor selection.
4. Payments

4.1 Payments are only accepted to the above account unless otherwise approved in writing by the Director of Style Scout Events.
4.2 The client may select one of the following payment options unless otherwise agreed in writing:
Option 1:
50% deposit payable upfront, with the remaining 50% payable no later than 1 month prior to the event date (full 30 days).
Option 2:
100% payment payable upfront. This option may allow for a longer promotional period attracting more clients & being a more competitive approach and earlier booking of preferred vendors and better availability.
4.3 No event vendors, suppliers, or third-party services will be fully confirmed until all required payments have been received.
4.4 If payment is not received by the due date, Style Scout Events reserves the right to:
suspend planning and promotional activity
delay vendor confirmations
release unconfirmed suppliers
cancel the event or agreement
retain the deposit
recover any cancellation fees, supplier charges, or other costs already incurred
4.5 Late payments may result in loss of suppliers, shortened promotional periods, reduced deliverables, or increased costs.
4.6 All invoices must be paid in Australian Dollars unless otherwise agreed in writing.
5. Booking Confirmation
5.1 A booking is only confirmed once:
the client has accepted the quote, proposal, or agreement in writing, and
the required deposit or full payment has been received.
5.2 Style Scout Events reserves the right to decline any booking, partnership, sponsor, or event at its sole discretion.
6. Promotions, Marketing, and Attendance
6.1 Style Scout Events will use reasonable efforts to promote the Event and attract attendees through its available channels, networks, campaigns, and media activity.
6.2 Style Scout Events does not guarantee:
a minimum or maximum number of attendees
sales, leads, sign-ups, purchases, external media coverage, or commercial outcomes
attendance by specific guests, media, influencers, speakers, or industry professionals
6.3 Open industry events may include a broad attendee mix, including but not limited to graduates, students, direct clients, executive-level professionals, media representatives, artists, influencers, brands, and competitors.
6.4 Attendance outcomes may be affected by weather, industry schedules, competing events, public holidays, economic conditions, supplier changes, or other factors outside our control.
6.5 Style Scout Events does not offer refunds, credits, or discounts due to lower-than-expected attendance numbers.
6.6 Where attendance levels are materially lower than anticipated prior to the event, Style Scout Events may, at its discretion, discuss alternative options with the client, including rescheduling. Any such change remains subject to supplier availability, transferability of deposits, and additional fees.
6.7 Where attendance of a speaker, entertainer or vendor is no longer expected we will do our best to provide a replacement or alternate including sourcing solutions during the event - but can not guarantee their replacement or fulfilment.
7. Advertising and Promotional Rights
7.1 Style Scout Events may promote the event using the client’s business name, logo, approved imagery, event details, products, and related materials for the purpose of marketing the Event and Style Scout Events’ services.
7.2 Unless otherwise stated in writing, each event will include a minimum paid advertising budget of $50 on Meta platforms as part of promotional activity where applicable.
7.3 The client may repost or share promotional content created by Style Scout Events for the Event and will receive their own content to post.
7.4 The client agrees to credit or acknowledge Style Scout Events as the event planner, event producer, PR coordinator, or similar role where reasonably appropriate in event-related promotion and post-event publication.
7.5 Style Scout Events may repost or use event imagery, photography, video content, and approved brand materials for portfolio, promotional, editorial, website, blog, social media, and business development purposes unless otherwise agreed in writing.
7.6 The client warrants the use and will provide all logos, imagery, brand materials, and intellectual property to Style Scout Events for use.
8. Deliverables
8.1 Deliverables will be provided in accordance with the selected package and any written agreement.
8.2 Deliverables may include, where applicable:
email invitation artwork
Instagram promotional assets
video graphics
blog content
event photography gallery
content creation videos
promotional copy and related assets
8.3 Photography galleries will be delivered once edited and supplied by the contracted photographer.
8.4 Content creation videos will generally be supplied within one week of the Event, unless otherwise advised.
8.5 Blog content will generally be prepared and published after the image gallery or final event assets are received.
8.6 Delivery timeframes are estimates only and may vary depending on vendor turnaround, editing time, approvals, and workload.
9. Suppliers and Vendors
9.1 Style Scout Events works with curated third-party vendors and suppliers; however, those providers remain independent third parties.
9.2 While we take care in selecting trusted vendors, Style Scout Events does not warrant or guarantee the acts, omissions, products, services, staff conduct, timing, or quality of any third-party vendor.
9.3 Any grievance, complaint, damage, service issue, or defect relating to a third-party vendor may need to be resolved directly with that vendor. Style Scout Events may assist where reasonably possible but is not responsible for the outcome.
9.4 Style Scout Events is not liable for any cancellation, failure to attend, delay, substitution, or non-performance by an external vendor.
9.5 If a vendor becomes unavailable, we will use reasonable efforts to source a replacement or suitable alternative, but cannot guarantee identical replacements, pricing, or availability.
10. Special Requests and Additional Services
10.1 Special requests including custom menus, bespoke styling, entertainment, activities, premium vendors, unique themes, and elevated guest experiences may be quoted separately or included within an elevated package only.
10.2 Elevated event packages are priced from $5,000 AUD, subject to scope and inclusions.
10.3 Additional requests made after confirmation may incur further charges and may affect timelines, vendor availability, and delivery.
10.4 We ask for all dietary requirements so we can stay clear of allergies. It is not always possible to avoid or cross contamination from our caterers. All attendees take responsibility over their own food choices and managing their own allergies.
10.5 We usually cater with a vegan and/or gluten free option for each event regardless of dietary responses. These options are clearly labelled.
11. Event Timing, Set Up and Pack Down
11.1 Style Scout Events will perform event set up and standard event pack down in accordance with the agreed event scope.
11.2 Unless otherwise agreed, Style Scout Events is not obligated to remain onsite more than 40 minutes after the scheduled event end time, or once agreed pack down, cleaning, loading, and event closure tasks are completed.
11.3 We request that at least one capable representative of the client or venue remain available during bump in, event operation, and pack down, including for access, bins, venue procedures, and final closure.
11.4 Standard post-event cleaning under the Basic Event Package is limited to rubbish collection (we request to use venue bins where possible), clearing styling items, wiping down used surfaces, and collection of event materials. It does not include professional venue cleaning services.
11.5 Professional cleaning is not included in the Basic Event Package unless specifically quoted.
11.6 Off-site cleaning of selected cutlery, serving ware, glasses, or portable event items may be undertaken where applicable.
11.7 We ask for at least 30 minutes for event set up and 30 minutes for event pack down and clean up on site.
11.8 We do all set up and pack down on the same day as the Event unless otherwise agreed dates are in place. We offer set up and pack down or further clean up on additional days at an additional quote price.
12. Attendee Conduct
12.1 Anti-social, unlawful, unsafe, aggressive, intoxicated, harassing, discriminatory, or disruptive behaviour will not be tolerated at any event.
12.2 Style Scout Events reserves the right to refuse entry to, remove, or cancel the ticket of any guest, attendee, sponsor representative, or staff member where there is reasonable concern regarding behaviour, safety, intoxication, security, or event disruption.
12.3 Style Scout Events operates under responsible service principles where alcohol is served and reserves the right to suspend or stop alcohol service at any time at its discretion or the discretion of venue staff or bar operators.
12.4 Attendees are responsible for their own behaviour, belongings, health, and safety while attending the Even - They will be liable for any damages or disruption occurrences during the event.
12.5 All attendees may be required to agree to separate attendee terms and conditions when purchasing or registering for a ticket or RSVP.
13. Client Responsibilities
13.1 The client is responsible for providing accurate event information, approvals, access details, venue information, brand assets, and decision-making in a timely manner.
13.2 The client is responsible for ensuring that its venue, staff, contractors, and products comply with all relevant laws, permits, insurances, licences, and safety requirements.
13.3 The client must ensure that at least one suitable representative is available for venue access, decision-making, and close-down requirements where required.
13.4 The client is responsible for its own staff wages, payroll obligations, workers compensation, insurance, and workplace responsibilities.
14. Insurance and Liability
14.1 Style Scout Events holds public liability insurance.
14.2 The client and venue must maintain their own appropriate insurances in relation to their premises, products, staff, contractors, and operations.
14.3 Style Scout Events is not responsible for:
damage to the client’s venue, products, or equipment caused by attendees, third parties, or venue issues
theft, loss, or damage to personal property or stock
disturbances caused by guests or members of the public
acts or omissions of external vendors or venue operators
14.4 Where damage is caused by an identifiable individual, liability may be addressed directly with that individual where appropriate.
14.5 To the maximum extent permitted by law, Style Scout Events excludes liability for indirect loss, consequential loss, loss of profit, loss of opportunity, reputational damage, or business interruption arising out of or in connection with the Event or Services.
14.6 Any liability of Style Scout Events, to the extent not excluded by law, is limited to the amount paid by the client for the relevant Services.
14.7 Nothing in these Terms and Conditions excludes any rights that cannot be excluded under Australian Consumer Law.
15. Cancellations and Rescheduling
15.1 Deposit payments are non-refundable once paid and once the agreement, quote, or proposal has been accepted, as planning, promotional activity, administration, website inclusion, blog drafting, and related work may commence immediately.
15.2 If the client cancels the Event after paying a deposit, the deposit will be retained by Style Scout Events.
15.3 If the client cancels the Event after additional payments have been made, those amounts may also be retained to cover supplier fees, cancellations, administration, promotional costs, and committed services already performed.
15.4 The client remains liable for any non-refundable supplier charges, cancellation fees, or costs already incurred by Style Scout Events on the client’s behalf.
15.5 Rescheduling requests will be considered in good faith, but are subject to:
vendor availability
venue availability
transferability of deposits
revised supplier pricing
additional administration fees
15.6 Style Scout Events does not guarantee that all vendors, speakers, entertainers, or suppliers can transfer to a new date.
15.7 Illness, emergency, weather, natural disasters, transport disruption, or other unforeseen circumstances may affect the attendance of panel speakers, special guests, staff, or suppliers. Style Scout Events will use reasonable efforts to arrange alternatives but does not guarantee replacement.
16. Force Majeure
16.1 Style Scout Events is not liable for any delay, cancellation, change, loss, or failure to perform due to events beyond its reasonable control, including but not limited to:
natural disasters
severe weather
fire
flood
pandemic or public health event
government restrictions
transport disruption
labour shortage
supplier failure
venue closure
utility failure
civil unrest
illness or emergency
16.2 In such circumstances, Style Scout Events may suspend, modify, postpone, or cancel the Event or Services without liability, except as required by law.
17. Business Rights and Discretion
17.1 Style Scout Events reserves the right to alter its pricing, packages, service offerings, event formats, supplier network, and business operations at any time.
17.2 Style Scout Events is an independent business and is not affiliated with, co-owned by, or exclusively aligned to any other business unless expressly stated in writing.
17.3 Style Scout Events may work with past, present, or future businesses that operate in similar or competing sectors.
17.4 No exclusivity is provided in relation to category, industry sector, event style, product type, or commercial territory unless expressly agreed in writing.
17.5 Style Scout Events reserves the right to reject or discontinue any event, client, sponsor, collaboration, or partnership at its discretion, including where conduct, fit, safety, payment, legality, or reputational concerns arise.
18. Intellectual Property
18.1 All concepts, styling plans, event proposals, marketing copy, campaign ideas, schedules, creative documents, mood boards, invitations, graphics, and other materials created by Style Scout Events remain the intellectual property of Style Scout Events unless otherwise agreed in writing.
18.2 The client may use final delivered materials for the agreed event and related promotion only.
18.3 Drafts, concepts, and unused creative materials remain the property of Style Scout Events.
19. Security and Safety
19.1 Security services are not included unless expressly stated in writing.
19.2 Where urgent safety, trespassing, unlawful behaviour, or significant disturbance occurs, Style Scout Events may contact venue management, security, or police as reasonably required.
19.3 Style Scout Events may implement door management, RSVP checks, and guest list controls where included in the event scope.
20. No Guarantee of Commercial Outcome
20.1 Style Scout Events provides planning, promotional, and hosting services only.
20.2 We do not guarantee sales, client acquisition, media coverage, purchase conversions, partnerships, commercial return, or business growth as a result of any event.
21. Termination
21.1 Style Scout Events may terminate the agreement immediately by written notice if:
the client fails to make payment on time
the client breaches these Terms and Conditions
the event becomes unlawful, unsafe, or commercially impractical
abusive, threatening, or inappropriate conduct occurs
false or misleading information has been provided
21.2 In the event of termination by Style Scout Events under this clause, any deposit and any monies paid for work already completed or committed may be retained.
22. Cessation of Trade
22.1 If Style Scout Events ceases trading, enters administration, is liquidated, or is otherwise unable to continue business operations, it will not be liable for indirect or consequential loss, except to the extent required by law.
22.2 Any rights or remedies available under applicable law remain unaffected.
23. Governing Law
23.1 These Terms and Conditions are governed by the laws of Victoria, Australia.
23.2 Any dispute arising in connection with these Terms and Conditions or the Services will be subject to the jurisdiction of the courts of Victoria, Australia.
24. Acceptance
By accepting a quote, signing an agreement, paying a deposit, or otherwise engaging Style Scout Events, the client confirms that they have read, understood, and agree to these Terms and Conditions.
